Western Uusimaa Wellbeing Services County Streamlines and Standardizes Client Charge Processes with Digital Workforce’s Innovative Automation

The Western Uusimaa Wellbeing Services County embarks on a major automation initiative to deliver consistent and efficient service in processing client charge decisions. Digital Workforce’s automation solution will streamline the statutory payment decision process, manage workflows, and provide the county’s experts with real-time visibility into every step of the process.

Unless otherwise specified by law, users may be required to pay a fee for social and health services provided by wellbeing counties. Client charge decisions are made on a case-by-case basis. In the past, the multi-step process has been entirely manual.

Western Uusimaa, one of the largest Wellbeing Services Counties, handles over 20,000 client charge decisions annually and is now leading the way in adopting automation in the process. Digital Workforce, a Finnish company specializing in process automation for the social and healthcare sector, has been chosen as the provider of this innovative solution.

The solution accelerates the payment decision process by automating the data collection needed to assess the client’s financial circumstances. Based on this information, the automation generates a draft decision, which is then reviewed and approved by the financial service center clerk at the Wellbeing Services County. Once approved, the decision is recorded in Western Uusimaa’s client and patient information system, and the payment decision is sent to the customer.

The Wellbeing Services County uses automation to streamline the process, reducing the amount of manual work and helping customers get decisions faster. Automation also helps to ensure the consistency of decision-making.

“Handling client charge decisions is a multi-stage and time-consuming process. It is also important that all cases are dealt with in a timely manner to avoid undue delays in billing the customer. With the automation solution we are now implementing, we will standardize and speed up the processing of decisions,” says Kristiina Syrjälä, Head of Financial Services for the Western Uusimaa Wellbeing Services County.
